Setting up CleanPipe

Installation takes about a minute and there is nothing to configure.

Installing

  1. Click Install from the HubSpot marketplace listing
  2. Choose the HubSpot account you want CleanPipe to watch
  3. Review the four permissions and approve

You need the App Marketplace Access permission in HubSpot to install any app that requests CRM scopes. Super admins have it automatically. If the install button does nothing, that permission is usually why.

What happens straight away

CleanPipe reads your deals and emails you a hygiene report within about a minute of connecting. That first email is deliberate: it shows you real output from your own pipeline rather than a welcome message, so you can judge whether it is useful immediately.

If your pipeline is completely clean, you still get an email saying so. That is the proof it is working.

Where the email goes

To the address of the HubSpot user who installed it. To send it somewhere else, a shared inbox or a sales ops alias, email help@thejaycampbell.com and it will be changed for you.

What gets checked

Every open deal, against six rules:

Deals sitting in a closed won or closed lost stage are excluded. If your portal does not have one of the properties a rule needs, that rule is skipped and the email says which one, rather than reporting every deal as failing it.

How often it emails

When there is something to report, and a weekly all-clear on Mondays when there is not. A daily message saying everything is fine trains people to ignore the whole thing, and total silence is indistinguishable from a broken integration, so it does neither.

Trial and billing

Every install starts with a 7 day free trial. No card is needed to start. Digests carry a countdown once the trial begins, and a link to subscribe at $49 per month or $490 per year for the portal.

When the trial ends without a subscription, CleanPipe sends one email saying it has stopped, and then goes quiet. It stays connected to HubSpot but reads nothing further.

Stopping it

Stop the emails, stay connected

Use the Stop these emails link at the bottom of any digest. CleanPipe stays installed, so turning it back on later needs no reinstall.

Disconnect completely

Use the Disconnect CleanPipe link in any digest. This revokes the connection, deletes the stored credentials, and cancels any paid subscription so you are not charged again. Digests stop straight away rather than running out the period already paid for: to keep that time, cancel from the billing link instead, which stops future charges and leaves CleanPipe running until the period ends. Disconnecting does not remove the app from your HubSpot account: to do that as well, go to Settings, Integrations, Connected Apps in HubSpot and remove CleanPipe there.

If something is wrong

No email arrived after installing

Check spam first. If it is not there, the most common cause is a portal with no open deals, in which case CleanPipe has nothing to report. Email help@thejaycampbell.com with your portal ID and it can be checked directly.

A check says it did not run

That means the property it needs does not exist in your portal. Deal properties vary by HubSpot edition and by how a portal has been customised. Adding the property in HubSpot makes the check start working on the next digest.

Deals are missing from the report

Deals whose stage does not belong to any current pipeline are excluded, and the email says how many. That usually means a pipeline was deleted while deals were still in it.
